How KAL Hub checks who you are, what it records about your visit, and what staff-only policies are kept from families.

Updated

KAL Hub is built so that a policy library is open to the right people and closed to everyone else. This page says in plain words how.

How you are checked

  • Parents are checked against KAL's enrolment records. Staff are checked against the KAL Portal and, for educators, the Portal's staff list (the payroll roster, plus staff at centres that payroll does not run, such as Beattie Road).
  • You prove it is you with a PIN, an emailed code or a Portal password. An email address alone is not enough.
  • The Hub never stores your password, because Portal staff sign in with their Portal login.
  • The sign-in page gives the same answer for every email, so it cannot be used to find out who is a KAL family or who works at KAL.
  • Too many wrong tries pauses sign in for a while.

What staff-only means

Some policies, such as Human Resources policies, are for staff only. Parents cannot open them, search for them or have Ask KAL answer from them. This is checked every time a page is opened, not just hidden on the screen.

What the Hub records

The Hub keeps a record of your visits so head office can see how the library is used and look into problems:

  • When you sign in and out, and which sign-in step was used.
  • Which policies you open and for how long, and what you search for.
  • The questions you ask Ask KAL and the answers. Your own list is in My Questions.
  • Which centre you were viewing.

Head office and, for their own centre, centre managers can see who has read which policy. Head office can read the Ask KAL questions in the console. Do not put anything private in a question. Ask KAL is for questions about policies.

Old records are removed on a schedule. Short lived items such as codes go within days. Activity and questions are kept for about 13 months. The sign-in record and the cost record are kept for about two years.

What is never recorded

  • Your password or PIN.
  • The sign-in code, in the clear.
  • Every key you press while searching. Only the search you submit is recorded.

Staying safe

  • Press Log out in the account menu on a shared computer. See Signing out and timeouts.
  • Never share a sign-in code. KAL staff will not ask for one.
  • If you get a sign-in code email you did not ask for, ignore it.

Questions

Can other parents see what I ask?

No. Your questions are yours. Head office can read them in the console for quality and cost checks.

Can anyone see my child's name in Ask KAL?

Ask KAL answers from policies, not from enrolment data. Do not type a child's full details into a question.

Who do I tell if something looks wrong?

Your centre, or head office.

If something goes wrong

  • If you think someone else has used your sign in, press Log out and tell your centre.
  • "We couldn't sign you in with that email — please contact your centre." See Sign in problems.
