Staff signature wording

Edit the one sentence printed on the staff signature panel at the end of a staff copy, and turn the panel on for a policy.

Updated

Some policies are signed on paper by new staff. The staff signature panel is a boxed declaration with a name line, a Signed line and date boxes. It prints at the end of the Staff copy of a policy and nowhere else. Families never see it, on screen or on paper. On screen it is hidden for staff too, because it is a page to sign, not a page to read.

The wording is one setting, edited once. Every policy that has the panel switched on prints the same words.

Edit the wording

  1. In the console press Settings.
  2. Scroll to Staff signature wording. The line above the box says how many policies have the panel on, for example "N of N today".
  3. Change the text in the box. It shows the wording that really prints now.
  4. Where the person's name should go, type [name]. It prints as a ruled blank line, not as the letters.
  5. Press Save wording. The button reads Saving….
  6. The new wording prints from the next time anyone prints a staff copy.

The Signed line and the date boxes are added below the wording automatically. You do not type them. The wording can be up to 2000 characters. Plain text only. Typing < or & is fine and prints as typed.

Example: KAL's wording begins "I [name] have been provided with this policy and the opportunity to ask questions." Casey Example adds a sentence about reporting to the Nominated Supervisor and presses Save wording. The next staff copy of the Demo Park Medication policy prints the longer declaration with a name line where [name] was.

The Staff signature wording section of Settings. A short note says how many policies print the panel. A text box holds the declaration starting I [name] have been provided with this policy. Under it are a note about the [name] token and a Save wording button.

Put the original wording back

  1. Clear the whole box.
  2. Press Save wording.

The Hub goes back to KAL's original wording. The panel is never printed empty.

If the wording has no [name], the name line is added at the end so the form can still be signed.

Turn the panel on for a policy

The panel is switched on per policy, in the editor.

  1. Open the policy in the policy editor.
  2. In the right-hand column, under Staff printing, tick Add Staff Signature Panel.
  3. Save or publish as you normally do.

Untick it to stop a policy printing the panel. The wording stays in Settings.

KAL's original wording reads: "I [name] have been provided with this policy and the opportunity to ask questions. I have read and understand my responsibilities under this policy and procedure. I will ensure I ask questions if I am unsure. I also understand the importance of supporting other educators and families in fulfilling their responsibilities. I will seek support from my supervisor if needed to comply."

Questions

Who sees the panel?

Only someone who prints the Staff copy or the Full copy of a policy. Families never receive the text at all, even hidden. See Printing a policy.

Does editing the wording change policies already printed?

No. It changes the next print.

Do I need the underscores?

No. The panel draws real lines. Do not type underscores.

Does a policy's own text still contain the declaration?

No. The declaration used to be in each policy's text. It now comes only from this setting, so one edit updates every policy.

If something goes wrong

The Settings page shows no message when a save is refused. If the wording does not seem to save, reload the page and check the box.

  • The save does nothing if the text is longer than 2000 characters. The box also stops you typing past the limit.
  • The save does nothing if the text is the same as what is already stored.
